Organisation Management

Manage your organisation, companies, members, and access permissions in one place.


Overview

The platform uses a two-level structure:

LevelDescription
Organisation The top-level entity that groups users and companies. All members share one organisation. Typically represents your company group or accounting firm.
Company A specific business entity within the organisation (e.g. ACME Ltd, ACME Holding). Each company has its own transactions, trial balances, and analysis data. Users can be granted access to individual companies.

Accessing Organisation Settings

Navigate to Settings → Organisation from the top navigation, or go directly to /org/settings.

Only owners and admins can access Organisation Settings and manage members or companies. Regular members can view their access but cannot make changes.

Companies

Creating a company
  1. In Organisation Settings, scroll to the Companies section.
  2. Enter a company name and click Add Company.
  3. The new company appears in your company list. You are automatically granted access to it.
Switching the active company

The active company determines which data is shown across the dashboard, reports, and AI analysis tools. Switch it from the company switcher in the top navigation bar:

  1. Click the company name shown in the top navigation.
  2. Select a company from the dropdown list. Only companies you have been granted access to appear.
  3. The page refreshes and all data now reflects the selected company.
Deactivating a company

Companies can be deactivated (soft-deleted) by an owner or admin. Deactivated companies are hidden from the switcher but their data is preserved. Contact an admin to reactivate.


Members & Roles

Roles
RolePermissions
Owner Full access. Can manage members, companies, invitations, and organisation settings. There is exactly one owner per organisation.
Admin Can manage members, create companies, and send invitations. Cannot change the organisation owner.
Member Can access companies they've been granted access to. Cannot manage members or organisation settings.
Changing a member's role
  1. In Organisation Settings, find the member in the Members table.
  2. Select a new role from the role dropdown next to their name.
  3. Click Save. The change takes effect immediately.
Removing a member
  1. In Organisation Settings, click Remove next to the member's name.
  2. Confirm the action. The user is removed from the organisation and loses access to all companies.
You cannot remove the organisation owner. Transfer ownership first if needed.

Inviting New Members

  1. In Organisation Settings, go to the Pending Invitations section.
  2. Enter the email address of the person to invite and select their intended role.
  3. Click Send Invitation. An invitation link is sent by email (valid for 7 days).
  4. When the invited user registers and confirms their email, they'll be prompted to accept or decline the invitation.
  5. Accepted: they join the organisation with the assigned role. Declined: the invitation is marked as declined.

Pending invitations are listed in Organisation Settings. Admins can cancel a pending invitation before it is accepted.


Company Access Control

Members only see companies they've been explicitly granted access to. Owners and Admins have access to all companies automatically.

Granting access
  1. In Organisation Settings, find the member in the Members table.
  2. Click Manage Access next to their row.
  3. Tick the companies you want to grant access to and click Save.

You can also grant access when processing a new member invitation — select companies at the point of invitation acceptance.


Tips
  • All financial data (transactions, trial balances, budgets, AI analyses) is scoped to the active company. Switching company gives you a completely separate data set.
  • Xero and QuickBooks integrations are scoped per user account. Each user can connect one Xero organisation. If multiple users in the same organisation each connect to Xero, they each have an independent connection.
  • If you are not part of any organisation, you'll see a prompt to create one on first login.
  • The company name is shown in the top navigation bar at all times so you always know which entity you're working in.
